Business AI chatbot: when you need one and how to choose

A business AI chatbot is only useful if it answers from your own sources and knows when to stop because it does not know. This guide helps you work out what you need before you choose.

What a business AI chatbot is, today

The old chatbot followed a tree of questions. If the customer wrote something different, it got stuck. A business AI chatbot understands questions written in natural language and answers in full sentences.

The point, though, is not "speaking well". It is answering correctly. That is why a serious business virtual assistant does not use the general memory of the language model. It uses your content: website, product sheets, manuals, warranty terms. And when the answer is not there, it says so.

You can set it up in two ways:

  • General: it answers on your company's information. Opening hours, services, frequent questions, how to book.
  • Specialised: it answers on one manual or a specific field. For example the technical support of a product.

Chatbot, document assistant, voice assistant: the differences

Many offers use the same words for different things. It helps to separate three elements: the interface, the knowledge and the ability to act.

TypeWhat it does wellTypical limitWhen to use it
FAQ chatbotShort, repetitive answersGets stuck off-scriptFew known, stable questions
Document assistantAnswers from manuals and procedures, with the sourceNeeds a well-kept document baseTechnical support, policies, customer support
Voice assistantConversation without a keyboard, also by phoneVoice does not improve weak contentPhone, busy hands, customers who do not write
Assistant that takes actionsOrders, tickets, updating other systemsPermissions and integrations need to be designedClear, already defined processes

In practice the foundation is always the same: knowledge. If you want to understand how it is built, read the AI knowledge base guide.

Three concrete examples

After-sales support from manuals

A technical company gets the same questions every day: how to reset, what the warranty covers, which spare part is needed. The answers are already in the manuals. The chatbot finds them and shows the page they come from. The in-house technician steps in only on new cases.

The installer with an error code

An installer is on site and writes: “control panel in error E14, what do I do?” (example). The assistant looks up the code in the manual, gives the steps and points to the page. If the code is not documented, it does not make anything up: it says so and collects the request for your technician.

Export support in several languages

An Italian maker of intruder alarm systems also sells abroad. The manuals are in Italian, the customers write in other languages. The assistant answers in the language of the person asking, starting from the same documents. You do not have to translate everything first.

Seven questions to ask before choosing

The demo matters less than the answers to these questions. If they are not clear, the problem shows up after launch.

  • Which sources does it use? Manuals, website, FAQs? And how are they updated?
  • Does it show the source? In technical cases, going back to the document cuts checking time.
  • What does it do when it does not know? An honest “I can't find it” is worth more than a confident, wrong answer.
  • Who receives the open cases? Unresolved requests must reach a person, with the context.
  • Which channels does it work on? Website, WhatsApp, phone. Better if they share the same knowledge.
  • How is it measured? Questions solved, unanswered questions, requests collected. Not the number of messages.
  • What does it really cost? Fee, set-up and usage must be clear before you start.

Signs you are ready

  • The same questions come back every week.
  • The answers already exist in approved documents.
  • People waste time looking for them.
  • Someone in the company can keep the content up to date.
  • You can say when a question must go to a person.

If you work in technical support, you will find more specific examples on the technical support page. If you have a local business, look at the business-type sheet.

How it works in Vucìa

  • You upload your documents: PDFs and web pages. The assistant answers from there and shows the source page.
  • If it cannot find the answer, it says so and takes the request.
  • Phone, WhatsApp and website chat use a single knowledge base and a single memory of conversations.
  • It answers in 32 languages. The servers are in Europe.
  • In the portal you see the requests, the minutes and the questions left unanswered.
  • If you like, you can give it a 3D character or a realistic face.

Plans start from €49 per month. The Manuals plan starts from €349 per month: the team does the set-up and, on request, we add 3D models of your products. Details on the pricing page.

Frequently asked questions

Can a business AI chatbot answer using my documents?

Yes. You upload PDFs and web pages and the assistant answers from that content, showing the source page. Quality depends on which documents you choose and how up to date they are.

What happens if the chatbot does not know the answer?

It says so clearly and collects the request. You find it again in the portal, together with the questions left unanswered, so you know which content is missing.

Is a chatbot or a voice assistant better?

It depends on how your customers contact you. Voice helps when writing is awkward. In Vucìa, phone, WhatsApp and website chat use the same knowledge, so you do not have to choose just one.

Does the chatbot also answer in other languages?

Yes, in 32 languages. It answers in the language of the person writing, even if your documents are in Italian.
